1. Who we are
LandAreas is provided by Farm Technologies UK Limited, a company registered in England and Wales (company number 13347199), whose registered office is at St Jude’s Church, Dulwich Road, London SE24 0PB, United Kingdom. In this policy, “we”, “us” and “our” mean Farm Technologies UK Limited.
We provide LandAreas together with Farmo Technologies AB, a company registered in Sweden (company registration number 559163-6237), which builds and runs the platform and handles personal data for us, on our instructions.
For the personal data described in this policy as ours, we are the controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. You can reach us about anything in this policy at hello@landareas.com, or by post at our registered office.
2. Whose data this policy covers
LandAreas holds two kinds of personal data, and who answers for it differs.
- Data we control. Your account, how you sign in, how the service is used and kept secure, messages you send us, and visits to this website. This policy describes how we handle it.
- Data our customers control. What an organisation and its people put into their workspace — projects, tasks, discussions, documents, records, photos, and details of landowners, agents and other parties. The organisation decides why and how that data is used and is its controller; we process it on its behalf, under our agreement with it. If your details are held in a customer’s workspace, please contact that organisation first; we will help it answer you.
3. What we collect
- Account details: your name, email address and password (stored only in a form that cannot be read back), the workspaces you belong to, your role in each, and invitations sent or received.
- Sign-in and security: for each signed-in session, its time, the IP address it came from and the kind of browser or device.
- What you create: everything you add or change in a workspace, with when it was done and by whom. LandAreas keeps every earlier version of what you change, and a record of who did what, so a workspace’s history can be shown later.
- Location: while the app is open, and only if you allow it, your phone’s position is used to show where you are on the map and to place what you record. We do not track your location in the background, and we store a position only as part of something you record — a pin, a note or a photo.
- Photos: photos you take or attach are stored as they were taken, including the details the camera writes into them, together with the direction the phone faced and how it was held. The app looks at each photo on the phone itself — whether it is sharp and level, and what words and objects it shows — using Apple’s on-device Vision framework on iPhone and Google’s on-device ML Kit on Android; what it finds is saved with the photo.
- Photo descriptions: if an owner or administrator of a workspace turns them on (they are off unless someone does), each new photo in that workspace is sent to a service that writes a short description of it, so photos can be found by what they show.
- This website: it sets no cookies and runs no analytics or advertising. Like any web server, the one that serves it records each request — the IP address, the page, the time and the kind of browser — to keep the site running and secure.
- Messages: what you write to us, and your contact details, when you email us or ask for access.
4. Why we use it, and on what basis
- To provide LandAreas to you and your organisation: creating and running accounts and workspaces, syncing your work between devices, and doing what you ask the service to do. Our basis is the performance of our contract with you or your organisation.
- To keep it secure and working: preventing misuse, investigating faults, and keeping the history that shows who did what. Our basis is our legitimate interest in running a secure, reliable service.
- To answer you and to develop the service: replying to messages and requests for access, and understanding how LandAreas is used so we can improve it. Our basis is our legitimate interest in running and growing our business, balanced against your rights.
- To meet legal obligations, such as keeping records the law requires or answering lawful requests from authorities.
Where we rely on legitimate interests, you can object, as described in section 9. We do not sell personal data, and we do not use it for advertising.
6. Where it is kept
LandAreas’s data is stored in Stockholm, Sweden, within the European Economic Area, to which UK law allows personal data to be transferred. Where a provider named above handles personal data in the United States or elsewhere outside the UK and the EEA, we rely on the safeguards UK law provides for such transfers, such as the UK International Data Transfer Addendum to the EU standard contractual clauses or the UK Extension to the EU–US Data Privacy Framework. 7. How long we keep it
- Account details for as long as your account exists, and afterwards only as long as we need them to settle any dispute or meet a legal obligation.
- Workspace content, including its history, for as long as the organisation’s agreement with us runs; at its end we delete or return it, as that agreement says.
- Server and security records only as long as they are needed to keep the service secure and to investigate problems.
- Messages for as long as the conversation, or the relationship it concerns, needs.
8. How we protect it
Everything travels between your device and LandAreas encrypted. What each person may see and do is decided by their role and checked by the platform itself, not by the app on their device; access for our own staff is limited to those who need it. Because LandAreas keeps every earlier version and a record of who did what, a change or a deletion can always be traced.
No system is perfectly secure. If a breach puts your personal data at risk, we will tell you and the Information Commissioner’s Office where the law requires it.
9. Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal data we hold about you;
- have it corrected if it is wrong, or completed if it is incomplete;
- have it erased, or its use restricted, in the circumstances the law sets out;
- object to our using it on the basis of legitimate interests;
- receive it in a portable form, where we use it on the basis of a contract or your consent; and
- withdraw any consent you have given, at any time.
To use any of them, email hello@landareas.com. We will answer within one month, and tell you if we need longer or cannot do what you ask, and why. Because LandAreas keeps a history of changes, erasing personal data can mean removing it from earlier versions too; where the law requires that, we do it.

10. Children, changes and contact
LandAreas is a service for businesses and is not meant for anyone under 18. We do not knowingly collect personal data from children.
We will update this policy when what we do changes, and change the date at its head. If a change matters to how your data is used, we will tell you before it takes effect.
